Transcription Update

July 13 Update

Thank you to everyone for your patience during the extended downtime of our transcription vendor, Nuance.  As we previously communicated, we are back up with an integrated solution using the same phone numbers you have been used to using over the last few years. 

We are working through the backlog of dictations that were done over the last two weeks by our temporary vendor, who is much smaller.  We expect that by sometime on Tuesday, any dictations done June 29th or later should all be in the medical record.  The vendor is working through the weekend catching up on the backlog.

Anything currently being dictated now through the normal transcription number should be showing up within a few hours, as you are used to seeing.  Please discontinue using the alternate transcription number as it will only contribute to the backlog and prolong the turnaround time.

Unfortunately, anything dictated June 23rd – 28th which is not showing in the medical record will need to be re-dictated.  These are dictations which were dictated into the Nuance system just prior to the crash.  Since that system crashed and has not been recovered, if you are not seeing dictations from those dates in the medical record, you will need to re-dictate.  We sincerely apologize for this – we were hoping that those dictations were recoverable but it appears that this is not the case.

July 12 Update

Dictation and transcription services are now available through an integrated vendor with normal turnaround times. Please cease using the temporary vendor and follow the instructions at 18cafe.info/Dictation. Turnaround times will be much shorter (close to normal) and this will be our solution for the foreseeable future.

Thank you to everyone who has been so patient during this unprecedented outage, and a special thanks to the HIM and IT teams who have worked tirelessly nights and weekends to keep us operational and to bring up a solution that works for our physicians.
